About the Role: We are seeking a highly organized and efficient Secretary to join our team. The ideal candidate will be responsible for managing daily administrative tasks, supporting the management team, and ensuring smooth operations within the office. The Secretary will act as the point of contact for internal and external stakeholders and will handle confidential information with discretion.
Key Responsibilities:
Administrative Support:
Manage and organize the daily schedule of the management team, including arranging meetings, appointments, and travel arrangements.
Prepare and distribute correspondence, reports, and presentations.
Maintain and update filing systems, both electronic and physical.
Handle incoming calls, emails, and other communications, directing them to the appropriate personnel.
Meeting Coordination:
Schedule and coordinate meetings, including preparing agendas, taking minutes, and ensuring timely distribution of meeting documents.
Organize and manage logistics for events, conferences, and team meetings.
Document Management:
Draft, proofread, and edit documents, ensuring accuracy and clarity.
Maintain confidentiality of sensitive information and adhere to company policies and procedures.
Office Management:
Order and manage office supplies, equipment, and maintenance services.
Assist in the onboarding process for new employees, including preparing necessary documentation and setting up workspaces.
Support to Management:
Assist with special projects and assignments as directed by the management team.
Provide general support and assistance to ensure the efficient operation of the office.
Qualifications:
High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
Proven experience as a Secretary or Administrative Assistant.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and office management software.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Discretion and confidentiality in handling sensitive information.
Ability to work independently and as part of a team.
