Position Overview:
We are looking for an experienced and personable Receptionist to be the first point of contact for our company. The successful candidate will manage front desk operations, deliver outstanding customer service, and handle various administrative tasks to ensure smooth office functioning.
Key Responsibilities:
- Reception Management: Greet visitors and clients in a professional and welcoming manner, ensuring a positive first impression.
- Communication: Answer, screen, and forward incoming phone calls, and take messages when necessary.
- Scheduling: Coordinate and schedule appointments, meetings, and travel arrangements for staff.
- Administrative Support: Perform data entry, manage office supplies, and assist with document preparation and filing.
- Mail Handling: Manage incoming and outgoing mail and packages, ensuring timely distribution.
- Office Maintenance: Keep the reception area clean and organized, and ensure all necessary office supplies are stocked.
- Support: Provide general administrative support to various departments as required.
Qualifications:
- Experience: Minimum of 2 years experience in a receptionist or administrative role.
- Skills:
Excellent communication and interpersonal skills, with the ability to interact effectively with visitors and staff.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Organizational Skills: Strong organizational abilities with attention to detail and the capacity to handle multiple tasks simultaneously.
- Professionalism: A professional demeanor and appearance, with a customer-focused attitude.
- Education: High school diploma or equivalent; additional qualifications in office administration are a plus.
