Position Title: Personal Assistant to Executive Director
Reporting to: Executive Director
Location: Sanpada, Navi Mumbai
ROLES and RESPONSIBILITIES:
· Arrange conferences, meetings, and travel reservations for office personnel
· Open, read, route, and distribute incoming mail and prepare answers to routine letters
· Leave & ODR sanction on behalf of the Executive Director in attendance system · Ticket booking, hotel booking, travel arrangements etc.
· Co-ordination between peons & drivers
· Payment follow up for projects handed by Executive Director
· Voucher checking
· Maintain system and file all correspondence
· Maintain personal file including investment details
· Maintain scheduling and event calendars
· Schedule and confirm appointments for clients
· Coordinate conferences and meetings
· Keep track of the daily work of housekeeping
·Keep record of personal account of areas of Executive Director
· Prepare invoice
· All Admin and secretarial work
· Making Agenda, attend meetings and making minutes of the meeting
· Coordinate and communicate effectively with internal and external stakeholders
· Handle email correspondence professionally and promptly REQUIREMENTS:
· 6 months to 1 year of experience in a similar role.
· Proficient in Microsoft Excel, Word, PowerPoint, and email.
· Excellent communication skills in English, Hindi, and Marathi.
· Reside in or near by vicinity.
· Strong organizational and multitasking abilities.
