Job Description

Job Summary:The Front Office Executive serves as the face of the organization, providing excellent customer service and administrative support to clients, guests, and employees. This role involves managing the front desk, handling inquiries, and ensuring efficient communication within the organization.

Key Responsibilities:

  • Customer Service:

    • Greet visitors and clients in a professional and friendly manner.
    • Answer and direct phone calls promptly and efficiently.
    • Respond to inquiries and provide information about the organization’s products, services, and policies.
    • Assist in resolving customer complaints and issues.
  • Administrative Support:

    • Schedule appointments and maintain calendars.
    • Coordinate meetings and conference room bookings.
    • Handle incoming and outgoing mail and packages.
    • Maintain office supplies inventory and place orders when necessary.
  • Front Desk Operations:

    • Ensure the front desk area is tidy and presentable, with all necessary stationery and material (e.g., brochures, forms).
    • Monitor and manage visitor access and security protocols.
    • Coordinate with other departments to ensure smooth operations.
  • Data Entry and Record-Keeping:

    • Input and update client and employee information in the database.
    • Maintain accurate records of visitor logs, appointments, and messages.
  • Communication:

    • Relay messages and information to appropriate personnel.
    • Distribute internal communications (e.g., memos, newsletters).
  • Support to Other Departments:

    • Assist HR with administrative tasks (e.g., scheduling interviews, processing paperwork).
    • Support the marketing team with preparing materials for events or promotional activities.

    Required Skills and Qualifications:

    • Proven experience in a front office, receptionist, or similar role.
    • Excellent communication and interpersonal skills.
    • Strong organizational and multitasking abilities.
    • Proficiency in MS Office (Word, Excel, Outlook) and other office software.
    • Attention to detail and problem-solving skills.
    • Ability to work independently and as part of a team.

    Preferred Qualifications:

    • Bachelor’s degree in Business Administration or related field.
    • Experience with office equipment (e.g., printers, scanners).
    • Familiarity with CRM systems or similar software.

    Working Conditions:

    • Typical office environment.
    • May require occasional overtime or weekend work.
