Job Title: Executive Assistant to the Director (Founder, The Designera & Portofino)
Job Location: Between Lower Parel (office) and Peddar Road (home office)
Reports To: Director of The Designera & Portofino
Position Type: Full-Time
Job Overview: The Executive Assistant to the Director provides high-level administrative
support to the Director. This role is crucial for ensuring the Director’s office runs smoothly
and efficiently. The ideal candidate will possess excellent organizational skills, be detail-oriented, and demonstrate the ability to handle sensitive information with discretion.
Key Responsibilities:
1. Administrative Support:
o Manage and maintain the Director’s calendar, including scheduling meetings,
appointments, and travel arrangements.
o Prepare and review correspondence, reports, and presentations for the
Director.
o Act as a liaison between the Director and other functions, clients and external
stakeholders.
o Handle confidential information with integrity and discretion.
2. Meeting and Event Coordination:
o Organize and coordinate meetings, including preparing agendas, taking
minutes, and following up on action items.
o Plan and execute events and conferences as required by the Director.
3. Office Management:
o Oversee daily office operations, including maintaining office supplies and
equipment.
o Manage incoming calls, emails, and other communications directed to the
Director.
4. Project Assistance:
o Assist the Director with special projects and initiatives as needed.
o Conduct research and compile information for reports and presentations.
5. Travel and Logistics:
o Arrange travel itineraries and accommodations for the Director, including
transportation and expense reports.
o Prepare and organize travel documents and itineraries.
Qualifications:
• Education: Graduate/Post Graduate
• Experience: Minimum of 1 years of experience as an executive assistant or in a
similar role supporting senior management.
• Skills:
o Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
o Excellent written and verbal communication skills.
o Strong organizational and multitasking abilities.
o Ability to work independently and as part of a team.
o High level of professionalism and attention to detail.
