As an Executive Assistant to the CEO you will be responsible for building and maintaining strong relationships with teams and external agencies. You will act as a liaison between the CEO and others.
The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
Key Responsibilities :
1. Calendar Management : Handle scheduling, anticipate conflicts, and make necessary adjustments.
2. Communication and Correspondence : Manage emails, phone calls, and other communications; draft and proofread documents.
3. Meeting Coordination : Organize meetings, prepare agendas, take minutes, and ensure all materials are ready.
4. Travel Arrangements : Organize travel logistics, including flights, accommodations, and itineraries.
5. Information Management : Maintain and organize confidential files, ensuring the executive has all necessary documents.
6. Relationship Management : Act as a liaison, maintaining positive relationships with various stakeholders.
7. Expense Management : Process expenses and prepare reports.
8. Special Projects : Assist with ad-hoc tasks, research, and process improvement.
Job Requirements :
- Experience : 2-3 years in a similar role, preferably as an executive or director assistant.
- Skills : Strong organizational, time management, communication skills, and proficiency in office productivity tools.
- Attributes : Attention to detail, discretion, ability to work independently, multitask, and prioritize in a fast-paced environment.
