We are currently seeking a meticulous and organized Back Office Executive to join our team. This role requires a blend of accounting skills and customer support capabilities to manage invoices, maintain stock records, handle customer complaints, and coordinate with technicians.
Job Responsibilities:
Accounting Tasks:
Prepare and issue invoices accurately and timely using Tally software.
Maintain and update stock records as per company protocols.
Follow up on outstanding payments and ensure timely collection.
Customer Support:
Attend to customer complaint calls professionally and empathetically.
Distribute complaint details to the appropriate technicians for resolution.
Maintain a log of complaints and track their resolution status.
Technician Coordination:
Coordinate with technicians to ensure they have the necessary resources and information to resolve customer issues.
Collect and compile daily reports from technicians regarding their service activities.
Monitor the progress of ongoing service issues and ensure timely follow-up.
Reporting:
Prepare daily, weekly, and monthly reports on accounts receivables, stock levels, customer complaints, and technician activities.
Provide insights and recommendations based on report analysis to improve operational efficiency.
Skills and Qualifications:
Education: Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
Experience: Proven experience in an accounting or back-office role, preferably with customer support responsibilities.
Technical Skills: Proficiency in Tally software and MS Office Suite (Word, Excel, PowerPoint).
Communication Skills: Excellent verbal and written communication skills, with a professional phone manner.
Team Player: Ability to work collaboratively with colleagues and technicians.
