Job Summary:We are seeking a highly organized and proactive Administrative Assistant to support daily office operations and ensure smooth business functions. The successful candidate will be responsible for managing office tasks, scheduling, correspondence, and supporting staff and management with administrative needs. This is a fast-paced position requiring strong attention to detail, excellent communication skills, and the ability to multitask effectively.
Key Responsibilities:- Office Management: Manage office supplies, equipment, and general office environment, ensuring it remains clean, organized, and fully stocked.
- Scheduling: Coordinate and manage appointments, meetings, and travel arrangements for team members or executives.
- Communication: Handle inbound and outbound communication, including phone calls, emails, and mail. Act as the first point of contact for visitors and external inquiries.
- Documentation & Filing: Maintain accurate filing systems, both physical and electronic. Ensure proper record keeping and document retrieval.
- Data Entry & Reporting: Assist with data entry and maintain databases or spreadsheets for tracking various administrative tasks.
- Support for Executives/Teams: Provide general administrative support for leadership or specific teams. This could include preparing meeting agendas, taking minutes, preparing presentations, and drafting correspondence.
- Event Planning: Assist in planning and coordinating company events, conferences, and meetings as needed.
- Process Improvement: Identify opportunities for improving administrative processes and recommend solutions to increase efficiency.
Qualifications:- High school diploma or equivalent required. Associate’s or Bachelor’s degree in business administration or related field is a plus.
- Proven experience as an administrative assistant, office assistant, or in another relevant role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Positive, can-do attitude and a team player.
Desired Skills:- Experience with office management software (e.g., Google Workspace, Zoom, Slack).
- Knowledge of basic accounting and budgeting (e.g., invoice processing).
- Strong time management skills and ability to prioritize effectively.
Physical Demands/Working Conditions:- Ability to sit or stand for extended periods.
