Job Description: Admin and Accounts Officer

Role Overview:The Admin and Accounts Officer will be responsible for overseeing the daily administrative and financial operations at the Exclusive Dealership Showroom in Balussery, Kozhikode. This role includes managing accounts, coordinating with customers and suppliers, handling inventory records, and ensuring smooth office operations.
Key Responsibilities:Accounting and Finance:
- Maintain accurate financial records including daily transactions, invoicing, and payments.
- Manage accounts receivable and payable, ensuring timely payments and collections.
- Prepare and submit financial reports to the Branch Manager and Head Office as required.
- Reconcile bank statements and manage petty cash.
- Assist in budget preparation and financial planning for the branch.
- Handle GST filings and other statutory compliances.
Administrative Duties:
- Oversee daily operations of the showroom, ensuring a clean, organized, and efficient environment.
- Manage office supplies inventory and place orders when necessary.
- Coordinate with the Head Office for HR-related tasks, including payroll, attendance, and employee records.
- Maintain and update all records, files, and databases related to showroom operations.
- Schedule and coordinate meetings, appointments, and travel arrangements for the Branch Manager.
Customer Service:
- Serve as the first point of contact for customers, handling inquiries and complaints.
- Ensure excellent customer service by assisting customers with their orders and addressing any issues.
- Liaise with suppliers and logistics teams to ensure timely delivery of products.
Inventory Management:
- Monitor stock levels and coordinate with the Paint Godown Incharge to manage inventory.
- Record inventory transactions and conduct regular stock audits.
- Ensure that inventory records are accurate and up to date.
Compliance and Reporting:
- Ensure compliance with local regulations and company policies.
- Prepare and submit regular reports on showroom performance, sales, and financial status to the Branch Manager.
- Coordinate with auditors during periodic audits and assist in resolving any discrepancies.
Team Support:
- Assist the Branch Manager in training and supervising showroom staff.
- Foster a positive work environment and ensure effective communication within the team.
- Support the implementation of company policies and procedures within the branch.
Qualifications and Skills:- Education: Bachelor's degree in Commerce, Business Administration, or related field.
- Experience: Minimum of 3-5 years in an administrative and accounting role, preferably in a retail or dealership environment.
- Skills:
- Strong knowledge of accounting principles and practices.
- Proficiency in accounting software (e.g., Tally, QuickBooks) and MS Office Suite (Excel, Word).
- Excellent organizational and multitasking abilities.
- Strong communication and customer service skills.
- Ability to work independently and as part of a team.

Working Conditions:- Full-time position, Monday to Saturday.
