Job Summary:
The Accounts cum Admin Executive is a versatile professional responsible for managing both financial and administrative functions within the organization. This role requires a combination of accounting expertise, administrative skills, and the ability to maintain accurate financial records. The Accounts cum Admin Executive plays a crucial role in supporting the overall efficiency and effectiveness of the organization.
Key Responsibilities:
1. Office Management:
- Oversee and manage daily office operations to ensure a well-organized and efficient workplace.
- Maintain office supplies, equipment, and facilities, ensuring all are in good working condition.
- Coordinate with vendors for office maintenance and services.
- Support team members in various administrative tasks as needed.
2. Accounting and Financial Management:
- Handle accounting tasks, including accounts payable, accounts receivable, and general ledger entries.
- Prepare and maintain accurate financial records, statements, and reports.
- Reconcile bank statements and monitor cash flow.
- Monitor and follow up on accounts receivable, ensuring timely payments.
- Coordinate with vendors and resolve invoice related inquiries.
3. Communication and Correspondence:
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
- Draft, review, and edit documents, letters, and reports as needed.
- Facilitate communication between different departments and team members.
4. Human Resources Support:
- Assist in the recruitment process by coordinating interviews and handling relevant documentation.
- Manage employee records and assist in HR-related tasks as required.
- Facilitate onboarding processes for new employees.
5. Problem Solving:
- Address and resolve administrative issues and challenges promptly.
- Anticipate potential problems and take proactive measures to mitigate them.
- Collaborate with team members to find effective solutions.
6. Scheduling and Coordination:
- Schedule and coordinate meetings, conferences, and appointments.
- Arrange travel plans and accommodations for executives and staff as required.
- Assist in organizing company events and functions.
Qualifications and Skills:
- Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- Proven experience in both accounting and administrative roles.
- Knowledge of accounting principles and practices.
- Proficiency in tally and MS Office applications.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Effective communication and interpersonal skills.
- Ability to multitask and prioritize responsibilities.
