PRAGNAA is looking for a Senior Executive/Lead - Statutory Compliance with a good attitude, exposure, and knowledge in “Labour Law Compliance” for various locations. The detailed “Job Description” is provided for better understanding for candidates and clear expectations of the Role.
JOB TITLE : SENIOR EXECUTIVE/LEAD - STATUTORY COMPLIANCE
LOCATION : Chennai / Hyderabad / Bangalore / Mumbai / Gurgaon
REPORTS TO : Manager - Compliance
JOB PURPOSE
The prime objective of Senior Executive/Lead - Statutory Compliance is to ensure compliance under the Shops and Commercial Establishment Act, The Factories Act, 1948, and applicable allied Acts, with the ultimate aim of the Client’s satisfaction, productivity, and quality output.
RESPONSIBILITIES
The Senior Executive/Lead - Statutory Compliance is responsible to:
1. Strictly adhere to Industrial Laws applicable to the Establishment and ensure to be available valid Factory Plan Approval / Stability Certificate / Factory License / S&E registrations / CLRA / Form III approvals / PT registration / LWF registration as per applicability. And to ensure all the renewal of various licenses obtained before the expiry date.
2. Build trust and enhance performance/outcome by adhering to statutory compliance.
3. Promote team cohesiveness, values, and work ethics.
4. Ensure the availability of creche / first aid facility / as per the applicability by coordinating with the client.
5. Coordination with Principal Employer in the issuance of Form V under the CLRA act as per the applicability
6. The monthly input sheet needs to be collected every month from the client and should be shared with backend support for Statutory Registers updations.
7. Notice of change of Manager in Form 3A to be submitted as on when required.
8. Branch active status, with employees’ headcount branch-wise, needs to be confirmed with the client every month. In case of branch closure, branch closure formalities need to complete within the due date.
9. Ensure to receive the updated statutory registers from the backend support team and validate them before forwarding them to the client every month or as agreed TAT.
10. Validate the covering letter/returns prepared by the backend support team before forwarding them to the client.
11. To collect the properly signed documents from the client and forward them to Frontend support for submission every month or before the due date.
12. Coordination with frontend team in collecting the acknowledgments (Quarter Return / Half Yearly Return / Annual Return) and forward to clients/backend support.
13. Coordination with backend/frontend team in amicable closure of all Labour authority inspections/notice issuance.
14. Coordination with management in the drafting of Inspection closure letter/notice reply letter.
15. Ensure to cover-up the branch visit of all branches of the client in every quarter or as agreed visits with client, with support of frontend team. And the acknowledgment of branch visits should be shared with the backend team for records.
16. Ensure to display to the Statutory Abstracts / Notices in all branches of the client, with support of frontend team.
17. Ensure to display the statutory Abstracts / Notices in the client office premises by doing branch visits as per the agreed TAT.
18. Whenever the new branches are added, ensure to complete the initial compliances formalities like, obtaining S&E license/display of abstracts & notices / Form A – notice of opening submission under PGA. In coordination with backend and frontend team for a smooth transition.
19. The consolidated List of activities done for the client, should be delivered with the management as “Compliance Dashboard” every month and ensure to forward it to the client every month.
20. Statutory Alert for S&E license status, current minimum wages update, returns submissions, Remittances should be sent to the client, at regular intervals, as per the requirement.
21. Need to take care and complete all the other activity assigned by management on need base/scope of work agreed with the client.
22. All the communication must be shared/discussed with the respective vertical Management team.
23. If case of any delay more than the agreed TAT, it needs to escalate to the Management team immediately.
24. Continuously upgrade and strengthen the information system on statutory compliance.
25. Submit reports/records/registers to assigned labour office and ensure the amicable closure of inspection/notice issuance by labour officials.
